Running your organization
For owners and admins: members and roles, invites, single sign-on and SCIM, the plan and billing, the audit log, how long data is kept, and legal holds.
On this page
Owners and admins of a team organization manage it from its console. Open Settings and choose Manage next to the organization, or choose Manage in the menu under your name. Personal spaces have no console.
People
- Change anyone's role: owner, admin, member or guest. Only owners can make or remove owners, and an organization always keeps one.
- Members see every workspace open to the organization. Guests see only the workspaces someone adds them to.
- Remove someone and they lose access to the organization's workspaces right away.
- Invite with a link, or by email for one person. Links last a week; revoke them under Active invites.
Single sign-on
Under Security, connect your identity provider (Okta, Microsoft Entra ID, Google Workspace, OneLogin and others) so people sign in with their work account.
- Add your email domain and publish the TXT record shown in its DNS. Choose Verify once it is there; DNS can take up to a day.
- Choose SAML or OIDC. For SAML, paste your identity provider's metadata, and give it the ACS URL and entity ID shown. For OIDC, enter the issuer, client ID and secret, and give it the redirect URI shown.
- Choose Test sign-in and sign in through your identity provider. Nobody else is affected.
- Turn on Sign in with single sign-on. People on your domains see Continue with SSO on the sign-in page and join the organization the first time they sign in, as members or guests as you chose.
- To make it the only way in, turn on Require single sign-on. Email links and Google, Microsoft and Apple sign-in stop working for your domains. Owners can still get an email link, so you can always get back in.
Changing the identity provider settings turns single sign-on off until a new test sign-in works, so a mistake never locks anyone out.
Provisioning with SCIM
Your identity provider can add people as they are assigned to Round Table, update their names, and take them out when they leave. Under Security, create a SCIM token and give your identity provider the SCIM base URL and the token. The token is shown once; revoke it there when it is no longer used.
- People are added only on your verified domains, as members or guests like single sign-on.
- Turning someone off in your identity provider takes them out of the organization; turning them back on brings them back.
- Groups your identity provider pushes appear under Groups. Give a group a role in a workspace, and its members get that role there. Leaving the group takes it away again; roles given by hand are left alone.
Plan and billing
Plan shows what your organization is on, how much of each limit it uses (members, guests, workspaces, files, AI requests and recording minutes this month), the plans you can choose and your receipts. Owners and admins can see it; owners change it.
- Under Plans, choose the number of seats for a per-seat plan (at least as many as your members), then Choose.
- Pay with a card on Paystack's page. You come back to the Plan page and the new plan applies at once; an earlier paid plan stops renewing.
- Update card opens Paystack's page for your card. Cancel plan stops renewal: the plan lasts until the end of the period you paid for, then the organization moves to the standard plan.
When a limit is reached, adding more of that thing (a member, a workspace, a file, an AI request, a recording) is refused with a message naming the limit. Nothing that is already there is removed.
If a renewal payment fails, Paystack tries again and the plan keeps working for a week. Update the card if it keeps failing.
Audit log
The audit log records sign-ins, role changes, people joining and leaving, invites, workspace changes, page downloads, sessions and pages deleted forever, retention changes, legal holds and the daily cleanup, with who did it, when, and from which IP address and browser or app. Entries cannot be changed.
- Search names, or filter by what happened, who did it and dates.
- Choose the arrow on an entry for its details.
- Download CSV saves the filtered log as a spreadsheet. Downloading it is recorded too.
How long data is kept
Nothing is deleted unless you set a limit. Under Data, choose how long to keep chat messages, call recordings, transcripts, archived items and audit entries. Once a day, anything older than its limit is removed for good.
- Chat: a thread stays while it has recent replies, so conversations are not cut in half.
- Transcripts: outcomes and decisions stay; only the captions and transcript lines go.
- Archived items: sessions, pages and channels count from when they were archived.
- Audit entries are kept for at least a year.
Legal holds
A legal hold keeps everything in a workspace, or the whole organization with its direct messages, whatever the limits say. Choose Add a hold under Data, pick what to hold and note the reason. Release it when it is no longer needed; the limits apply again at the next daily cleanup.
A hold stops the automatic cleanup, and nobody can delete archived sessions or pages forever while it lasts. People can still delete their own messages.
